AdminAssist Ally ("we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our services at adminassistally.com or communicate with an AI assistant bot managed and hosted by us on your behalf.

By using our services, you agree to the collection and use of information in accordance with this policy.

Information We Collect

Account Information

When you create an account, we collect your name, email address, and password (stored as a secure hash — we never store your plain-text password). During onboarding, we may also collect your Telegram username and other setup preferences required to provision your assistant.

Conversation and Memory Data

To deliver the assistant service, we store the data your assistant accumulates, including:

• Conversation history between you and your assistant
• Persistent memory entries (facts, preferences, and context your assistant saves)
• Notes, tasks, reminders, and other content you create through the assistant
• Files or documents you share with the assistant (where supported by your plan)

This data belongs to you. We do not use your personal assistant data to train AI models, sell it to third parties, or use it for advertising purposes.

API Keys (BYO)

If your plan includes bring-your-own API key support, we store your API keys encrypted at rest using AES-256 encryption in a dedicated key vault. Keys are only accessed by AdminAssist Ally staff during initial provisioning and are never transmitted via email or stored in plain text.

Payment Information

Payment processing is handled by Stripe, Inc. We do not store your credit card number, CVV, or full payment details on our servers. We receive only a subscription status and Stripe customer identifier to manage your account and billing.

Usage and Technical Data

We may automatically collect technical information about how you interact with our platform, including IP address, browser type, pages visited, and session duration. This data is used solely to maintain and improve the service.

How We Use Your Information

• To provision, configure, and operate your personal AI assistant
• To process your subscription and manage billing through Stripe
• To send transactional emails (account setup, receipts, password resets, renewal reminders)
• To respond to your support requests
• To monitor platform performance and diagnose technical issues
• To detect and prevent fraud or unauthorized access

We do not sell your personal information or assistant data. We do not use your conversation history or memory data to train AI models.

AI Data Processing

Your assistant runs on locally-hosted open-source AI models on our private or shared VPS infrastructure (depending on your plan). Your conversations are processed on our servers — they are not sent to OpenAI, Anthropic, Google, or other external AI providers unless you have separately configured a BYO API key to an external provider.

If you configure a BYO API key to an external AI provider, your conversations may be processed by that provider subject to their own privacy policy and terms. You assume responsibility for reviewing those terms before enabling a BYO key.

Information Sharing and Disclosure

We do not sell, trade, or rent your personal information. We may share your information only in these limited circumstances:

• Service Providers: We use Stripe for payment processing and Railway/Hostinger for infrastructure hosting. These providers have access to only what is necessary to perform their services and are subject to their own privacy policies.
• Legal Requirements: We may disclose your information if required by law or in response to valid legal process (such as a court order or subpoena).
• Business Transfer: If AdminAssist Ally is acquired or merged, your information may be transferred as part of that transaction. We will notify you before your information is transferred and you will have the option to cancel your account.
• With Your Consent: We may share your information for any other purpose with your explicit written consent.

Data Security

We implement appropriate technical and organizational measures to protect your information, including:

• HTTPS/TLS encryption for all data in transit
• Bcrypt hashing for all account passwords
• AES-256 encryption for stored API keys
• Session tokens stored as cryptographically random values
• Database access restricted to application services only
• VPS environments isolated per-client on Pro and Elite plans

No method of transmission over the internet is 100% secure. While we take security seriously, we cannot guarantee absolute protection from all threats.

Data Retention

We retain your information for as long as your account is active or as needed to provide the service. If you cancel your subscription, your bot and data remain intact until the end of your billing period. If you request account deletion, we will delete your personal information and assistant data within 30 days, except where we are required to retain certain records for legal or accounting purposes.

You may request a copy of your stored data at any time by contacting support@adminassistally.com.

Your Rights and Choices

• Access and Update: You can view and update your account information in your client portal at any time.
• Data Export: You may request a copy of your assistant's conversation history and memory data by contacting support.
• Account Deletion: You may request deletion of your account and all associated data by contacting support@adminassistally.com. Deletion requests are completed within 30 days.
• Opt-Out: You can opt out of non-essential email communications by following the unsubscribe link in any email we send or by contacting us directly.

Cookies and Sessions

Our client portal uses session cookies to maintain your logged-in state. These cookies are essential for the portal to function. We do not use third-party advertising cookies or tracking pixels on our platform.

Third-Party Services

Our service integrates with the following third parties:

• Stripe — payment processing (Stripe Privacy Policy)
• Telegram — delivery platform for your AI assistant (Telegram Privacy Policy)
• Railway / Hostinger — application hosting infrastructure

These services have their own privacy policies and data practices. We are not responsible for their privacy practices.

Children's Privacy

Our service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If you become aware that a child has provided us with personal information, please contact us immediately at support@adminassistally.com.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes via email and by updating the "Last updated" date at the top of this page. We encourage you to review this policy periodically to stay informed about how we protect your information.
